Prewise Gimlet™ Learning Portal is a tool designed for face-to-face and online trainings’ administration. The tool makes course and student administration, competence improvement process, and training information distribution easier. With this tool the administration becomes easier and more efficient.

Administrating training events may sometimes be a surprisingly complicated process in which the training administrator handles a large amount of data. The training may require a certain level of knowledge, supervisor’s approval or that the learner has completed other trainings first. The payment methods vary, and depending on the course location additional information might be needed for transport, hotel rooms, diet or special programs for the evenings.

The participants cancel and change their registrations on the way and the final number of participants may even determine the success of the whole training. It is necessary to stay in contact with the participants, send invitations, reminders and confirmations, and in the end collect data of the training’s results.

In the worst case administrating is tedious and demands a lot of manual work. In the best case administration is a straightforward process in which data is handled in one location.

Prewise Gimlet™ Learning Portal is a tool designed for face-to-face and online trainings’ administration. With this tool the courses’ introductions and registration for trainings are fast and easy. Prewise Gimlet ™ Learning Portal centralises all management, reporting and other tasks related to the training events to a one digital package, helping to get rid of separate tools and manual labour.

With this system, the data is managed easily and efficiently. The training’s administrator will always receive the correct data for all needs. This system can be used to reduce last-minute cancellations, and ambiguities regarding enrolment.

Offer 24/7 service for the users

For the user the system offers one centralised place from where to find general training information, as well as one’s own training history. The service is easy to use - online information is available at all times and enrolment is possible 24/7.

Availability is important, especially when the company sells trainings for outside, to partners and customers. If finding the correct training event or registration is too much work, potential course participants may give up even before the training starts.

Own course history and training supply available in one place

Based on our experience, the companies’ participant lists for events are all too often only on the various Excel sheets from which the data is to be "later" entered to the HR systems. In practice, "later" time never appears and the course history is left for the participants’ themselves to remember.

The trainings’ feedback surveys and follow-up measurements of the course knowledge’s adoption to one’s work often end up in the same excel and paper file mess from which their effective use is a gruelling task. The process also applies, at least partly, to online trainings and virtual lectures, so the digitisation of trainings does not remove these management and monitoring tasks.

From the training portal, the administrator finds all data and activities relating to the course including the participant’s course history and enrolled courses, and thus the data exploitability to different purposes is really efficient.

Simplicity and easiness are the strengths

The training portal has been developed together with Prewise’s pilot customers. We have emphasised the usage’s easiness from both the administrator’s and end-user’s point of view.

An important part of the training portal is its integratability to other Prewise Gimlet™ products and customer’s own systems. Training event’s enrolment lists can be published in the customer’s own intranet, participant data can be automatically delivered to the HR-systems and communication is done with familiar tools: by email and SMS.
